BusRunner is a request-management app for touring crews and event production teams. Track hospitality riders, catering and supplies, and coordinate buses and runners in one shared, real-time list.
Tours don’t run all year—and your subscription shouldn’t either.
Build and prepare your project during advance completely free.
Project growing beyond the free plan? No problem. Upgrade to Pro at any time and only start paying when you activate your project.
When your tour is ready, simply Activate your project and move onto Active Weekly Billing—you only pay while your project is live.
Pause at any time. Your subscription remains active until the end of your current billing week, then stops automatically. No partial weeks. No hidden charges.
Between tour legs, pause your project knowing everything will be exactly as you left it, ready to pick up where you left off.
When one tour finishes, archive or pause it and start building the next. Every project stays safely stored and ready to reactivate whenever you need it—completely free until you choose to go live.
Active Weekly Billing
Build free.
Upgrade to Pro anytime.
Billing starts when you activate.
Pay only when the wheels are turning.
Pause anytime—billing ends with your current week.
Resume exactly where you left off.
No contracts. No setup fees. No rebuilding your tour. Just pay while you’re working.

End this project
Schedules a shutdown countdown. Nothing is deleted automatically — this just reminds you and your coordinators to export before you close it. Change or cancel it anytime.

Your settings
You're signed in via a host code. This is how your name appears on requests and messages.
Crew list visibility
A quick mute for the crew view. Mute it to temporarily hide the list from crew (e.g. while production sorts something out) — it doesn’t affect billing or your data, and nothing is deleted. This is separate from Pausing a project.
Crew list muted
Crew see a brief notice instead of the list until you unmute.
Project name
Shown at the top of Host view. Rename anytime, e.g. for a new tour leg.
Category permissions
Liquor/Spirits category
Project master switch. When off, Liquor/Spirits is disabled for all buses regardless of per-bus settings. Per-bus control available in Manage Buses.
Allow pinned items
Lets crew pin frequently-used recurring items as quick-add buttons.
Show picked status to crew
When on, crew see a small "Picked ✓" badge on items the runner has collected. Off by default.
List pulling
Pull scope
Per bus keeps pulling one bus at a time. Collective adds a single “Pull all lists” button to the Overview.
Band items to runners
Real-time lets runners see production/band items as they’re added. On pull hides them until you pull that band bus (which pushes the list to the runners).
Messaging
Let crew message the host
Crew get a "Message the host" option. Off = crew can't use chat. Coordinators, collaborators and runners always have their channels.
Daily cutoff time
Crew see a live countdown. Items added after this time are tagged for the next day's run.

Coordinators
Coordinators join the full project view (restricted): their focus is Lists & Import, and they can add & manage their own buses. Runners are view-only for them.
Collaborators (co-hosts)
Collaborators get the full host view with only light limits — full runner management, all lists, add/manage buses. They can't change project settings, manage people, or reset the project.
